RE: "Old Spanish Inn" Presentation Research
Dear Bob:

Please accept this letter as a formal proposal and letter contract for Special
Services for Preservation of the referenced Project as listed below:

The Architect shall provide the following Special Services:

1. Assist and consult with historic and archaeological consultants
in the removal and examination of existing floors, wall surfaces,
mantels, trim and other materials necessary to determine the con-
dition and sequence of construction.

2. Redraw and correct existing drawings and take photographs of
significant existing conditions and features as they are exposed
during the progress of the Research.

3. Assist in identifying and establishing the dates of the various
periods of construction.

4. Prepare a written report of findings and recommendations, which
shall include research data and conclusions based upon architec-
tural, archaeological, and historic investigations illustrated
by drawings based upon research findings to illustrate the recom-
mended concept and scope of the restoration, and which shall in-
clude recommendations concerning:

(a) Removal of anachronistic work.
(b) The extent of restoration justified.
(c) Modernizations other than complete restoration which
will make the Project suitable for current functional
requirements, including public uses, and which will
not unreasonably impair the historic character of the
Project. D

5. Prepare a Statement of Probable Construction Cost.

S These services shall be provided for a fee not to exceed $4,985.00. The fee
shall be computed on the following hourly basis:

Herschel Shepard during normal working hours: $45.00/hour
Herschel Shepard during personal research hours: $30.00/hour
Drafting during normal working hours: $25.00/hour
Secretarial Assistance: $ 5.00/hour

Long distance telephone calls will be reimbursable at the actual cost billed
by the telephone company.

It is understood that I will accomplish as much research on personal time as
is practical. However, it will be necessary to accomplish the majority of
field investigation during normal working hours in order that you, Cathy, and
I can work as a team. I believe the ratio of office to personal time will fall
between 1:1 and 2:1. Also, I will attempt to complete all required drawings
outside of the office at a reduced rate not yet determined.

We normally bill monthly for research services. If this is not convenient, we
will bill when our hourly fees equal 50% of the guaranteed maximum, and again
upon completion of the Project.

This contract will be between the Historic St. Augustine Preservation Board and
Fisher & Shepard, Architects & Planners, Inc. If this letter is acceptable to
you as a contract, please sign the enclosed copy and return it to this office.
